Pleasant Grove Arts Commission Agenda Feb 8, 2024 5:30p.m. at the Pleasant Grove City Hall 70 South 100 East PG, UT 84062 Mission- Facilitate artistic opportunities within our community. Vision- Become the arts center of Utah county. Values- Learning, Influence, Quality Programming, Enjoyment Proceedings: Meeting convened: 5:37 pm Motions to start: Stacy first, Tina second Board Members In Attendance: Brady Hoggard, Stacy Martineau, Emily Hammerstead, Emma Martineau, Cyd Lemone, Madi Fontana, Brian Fogelberg, Tina Fontana, Melissa Lindstrom, Mandi Lundt EXCUSED: Public in attendance: Minutes from JAN 11, 2024 Madi first, _ second City Business - (Cyd Lemone): Director's Business (Stacy do you have anything from Sheri): Wasatch dance company wonders if we do grants. They want to come do a performance in April in Pleasant Grove Tina reach out to Scott Darrington Brian reach out to Dance company Chairperson business (Brian): How do we create a more cohesive team? Support each other's events more by showing up Brady brought up Taste of the Arts and supporting each others events Setting up rules of engagement (create and set expectations for those groups) - How can people apply for support form the commission ect. Theater: Have someone on both boards (non-bias) Taste of the arts folder (In the drive) - Review everyone's list of what we each do, what we're in charge of, and whether you run it or its a city event that we support After review,what is missing Sub-Committees reports and discussions: What committees do we want to keep? Are there others we should create? Social Media/PR: Madison (Emma, Tina, Madi) How is madi feeling about posting consistently? Monday and Fridays - Tina will find or create new passwords and share them with Madi so she can start taking on posting consistently. Facebook page (Make a business page instead of a group) - There are advantages to creating it as a group - Madi and Tina will create this new page together - Make a unified name between Facebook and instagram - Link the accounts Approving requests that want to be promoted - (Make a list of expectations) - Who is in charge of approving as well - Case by case made need to be approved We want to support our commission and the city If they meet those needs, we want to share Content calendar update - Resent as google calendar. Sent today Email marketing platform - Brian & Mandi did you connect? - We are going to go with Sendinblue - the features we need and will have room to grow - Possibly share email lists with the companies we support here in pleasant grove including PG Players Photography/Photographer (Can we get one?) - Brian can take Stellar photos until we get someone else - Brady has been taking most of the photo's for open mic and he would love extra support to make sure we have great photos to share - We discussed getting two people to have multiple photos - Arts commission photographer shirts Have 4 photos that need to be taken at each event City Liaison: Emily Come to city council in February (What events we have planned and get support) Feb 21, 4:30pm in the council room at the police station - Here are the fun things we have planned this years and what they can support - Brady will talk about things we specifically handle - Brian will talk about city things we support - Tina will talk about Things we sponsor Fundraising/Sponsors : Brian (Tina, Madison) Alta bank - They need one form from us. 501c-3 - Brady will send the form to Sarah - Stacy will get it to him Equipment: Emma Shirts are ready for order (Please send your size by Saturday, Feb 10, 2024) Stickers and pens in the future would be great Records Keeper: Mandi Deadlines for newsletter By the 10th of each month Email lisa about getting more newsletter space - Feedback that the font is too small Going to send a note in groupme for last call for newsletter Sharing it on social as well Open mic: Brady 60+ people in attendance this week Equipment is working great. Livestream people jumped on this time (Done on our facebook page) Most help would be cleaning up (More volunteers for clean up) 7:45 - Do a training on how to clean up - Calvin is still helping occasionally - He still needs to learn a few things Free drink vouchers any notes ($3-$4) WE could get them for $2 a piece if we commit to pre-ordering so many drinks Possibly run it throughout social media so we can give away swag during the event Video casting of the persons social media who is performing - Discuss how we want to work this Madi and Emma are going to help clean up this next time Tina will be there at the beginning Vote on giving this item a budget $30 Songwriter Competition: Brady venue yet? Can't book until 3 months beforehand Concerts in the park: Stacy 10 of 11 are booked - Brady has a contact of the last one - Funeral potatoes last concert Can we help run other concerts and do longer sets? Any word on AF arts commission or attending a different commission? - Invite marlene to next committee Artist of the month: Brady Lyndee mott possibly Taste of the Arts: Tina Feb 10 - Drawing teacher at library 10:30 - Stacy bringing cookies - Plan on 25 April 13 - Watercolor class June 8 - Plein Air painting (Evermore or manila pond) Kreative Kiln - perhaps in July? Melissa: Strawberry days June 15-23 City supported events - Melissa Summerbration - PG's got talent? Viking days - We could run the music for the group Strawberry days (June 15-23, 2024) Christmas tree lighting Trick or treating on Main Heritage festival (Sept 9,2024) We are looking to provide a melodrama Orchestra/ UCC liaison: Stacy Messiah Sing in, 120 max attendance March 4 (Kay) PG Players liaison: Tina Report on lighting Report on sound Yearly budget vs. by show Children's Theater - What happened with the city council? Brian needs to ask about Center Stage, and UCC with its location in Saratoga (check with Denise Roy). Vote / Discuss budget requests Motion to approve budgets: Emma motions, Mandi Seconds (Passed) Secretary (Emily) Review everyone's assignments for next meeting Madison : Hound mother to get password and then start posting on social media Monday's and fridays Stacy : Send the 501c-3 form to Brady Brian: Brian needs to ask about Center Stage, and UCC with its location in Saratoga (check with Denise Roy) or Scott darrington. Brady: Send the form to Alta bank, Melissa: Prep info for Strawberry days and let us know if the committee needs help Tina: Tina will find or create new passwords for social media and share them with Madi so she can start taking on posting consistently. Emma: Ordering shirts, Hanging in there with 3 jobs!
