ADVISORY BOARD MEETING MINUTES Arts & Culture Advisory Board Meeting Thursday, March 23, 2023 - 11:30 am Government Center - Room N2-800 2001 S State Street, Salt Lake City, UT 84190 or Cisco WebEx Meeting Board Members: Don Tingey, Bing Fang, Essie Shaw (Vice Chair), Daphne Williams, Ryan Riches (Chair), Erik Christiansen, Maria Chumbita-Garcia, Dheeraj Reddy, Wes Long, Gordon Wolf, Natosha Washington, Megan West Attendees: Don Tingey, Bing Fang, Essie Shaw, Ryan Riches, Wes Long, Maria Chumbita-Garica Staff Members and Guests: Matt Castillo, Melinda Cavallaro, Jenn Niedfeldt, Angela Vanderwell, Jacquelynn Jones, Joey McNamee, Kate Ithurralde, Amanda Mulia 1. Welcome - Ryan Riches welcomed everyone; meeting called to order at 11:37am. 2. Review of Public Comments - No public comments. 3. Welcome guests- Ryan Riches welcomed everyone, welcomed guest Amanda, she is a potential new board member. 4. Farewell to outgoing board members - Gordon Wolf and Daphne Williams Matt expressed appreciation and gratitude to Gordon and Daphne for their contributions over the years they served. Both served 6 years and over this time frame did so much for us. Gordon is a member of Taylorville Arts council and participated and helped with the Mid- Valley Performing Arts Center. Daphne has been serving on the Art selection committee. Was our Chair 2 years ago and has participated on resident reviews and all sorts of things. We'll be sending them a nice farewell gift. 5. Action Item: Approve January 26, 2023, meeting minutes. Mr. Riches moved motion to approve the minutes, Ms. Shaw move motion to second. Unanimously approved. 6. Action Item: Visual Art Collection Donation - Kate Ithurralde Kate advised that the visual art collection has about 682 pieces at 52 different locations when she was doing inventory. Midnight Companions - Donation by Duke and Marsha Johnson. Kate showed a slide of this piece and gave a background on it. A photo of Arches under a midnight sky. Kate found this work when she was doing inventory, it was damaged. We had originally purchased this work in 2018. The artist Duke donated another print for the Planetarium. We will mount this print on metal, not glass as the first one was. Since it was already in the collection it doesn't need to go to the Council for approval. Project Art Heals - Donation by Emily Hagn and Heidi Calega Kate showed a slide photo of this piece and gave a brief history. Emily Hagn MD, in the Dept. of Anesthesiology and Division of Pain Management at the University of Utah. Heide Claega University of Utah alum (BA '96). She currently resides in Denver. She specializes in creating art out of items that would otherwise end up in the landfill. This work is made from medical items; scissors, empty vails, elastic wraps, syringes, and needles. When Emily held the first vial of the vaccine, she became emotional, and knew she wanted to do something. One thing that is unique is that the community could donate little items to remind you of what you went through during covid. This is why the Turtle pin is there. If approved this would be displayed in the South building of the Government Center, next to Health dept. Will go to Council for approval. Mr. Riches moved motion to approve donations, Ms. Shaw move motion to second. Unanimously approved. 7. Board Business - Matt Castillo Recruitment Updates- Matt explained we have 5 vacancies on the board now. Matt has been working with Don Tingey and Erik Christiansen and members of nominating committee to go through a recruitment process. Matt sent out information to all local Arts agencies, municipalities, and chambers, etc. Matt said he has gotten a good response. Last week advanced 4 potential board members for approval to Mayor's office and County Council: Amanda Mulia, Jorge Rodriguez, Dustin Lewis and Cody Getts. Matt gave a brief biography on each potential new member. Still seeking out someone for the 5th vacancy. 8. 2023 Arts & Culture Division Goals - Matt Castillo Matt presented a slide presentation on 2023 Arts & Culture Division Goals. In this presentation Arts & Culture Division Mission and Values were stated and Ryan mentioned them at the beginning of the meeting. Matt explained how our Goals are set up. All of our teams set out 3 years goals. Looking at prior year, what the merging needs are and looking at the Master plan recommendations as well as the Mayor's and Council priorities. This year's focus is on the recovery, look at attendance activity, and those types of things were at, or near our pre-pandemic goals. These are similar to last year's goals. 'Going from good to Great'. Priority 1., internal oriented process goals. Priority 1. Refining and improving- Going from Good to Great! Slides were presented showing each goal, tasks and/or activities on how to achieve each specific goal. How we are measuring the success of each goal, and what the status is of each goal as of March 2023. Example: Implement New tools to improve Daily Work. Continue improving IT and Data tools. Implement SharePoint for all teams, data warehouse tools and reports developed and implemented. SharePoint rolled out to certain team; Data Warehouse reports rolled out to certain teams. During the presentation, Matt asked if any board members had any questions, and/or feedback. Discussion among board members and staff ensued. Question on why Regent Street black box space at Eccles not utilized as well as other spaces? Essie asked if people don't know about the space? Matt advised lots of different reasons. One is awareness and perception of it, when first opened rates were set that weren't accessible. We revised the rates, but people don't call back to check on rates. They still think it is unaffordable. Also working with Angela Vanderwell and Jenn Niedfeldt on getting ideas to utilize the space. Board would like to have an Advisory Board meeting at Eccles, would like to tour Eccles. We can arrange in the future to have a meeting there. Next area Priority 2, this is really based on our 2020 Arts & Culture master plan again. This is a 10-year master plan with a lot of really significant recommendations. We are entering our 3rd year of the timeline and are continuing that work. One key goal was establishing Arts & Culture as a regional asset. It was based downtown providing venues services, we now want to expand our profile. Focused on team building and staff development. Focus on Training on all levels. Priority 2. Implement 2020 Arts & Culture Master Plan recommendations. Slides were presented showing each of these goals, tasks and/or activities on how to achieve these goals. How we are measuring the success of these goals, and what the status is of each goal as of March 2023. Example: Establish Arts & Culture as a Regional Asset. Theatre Production internship program established, regular production training. Internship program expanded to all venues, ETTTEO re-established. Under Development. 9. Director Updates - Matt Castillo Major Planning Projects beginning/Continuing in 2023 Abravanel hall Master Plan update- The Request for Proposal (RFP) has been issued, will be reviewing proposals in a couple of weeks. Hope to have done in 6 months. Excited to get a design teams/consultant. Southwest Valley Performing Arts Center Programming Feasibility Study- Drafting the RFP. Daybreak has donated 5 acres for the performing arts Center. UMOCA Master Plan Support - no update on UMOCA. Arts & Economic Prosperity Study - Volunteers Needed- In final lapse of getting our 800 audience intercept surveys. If you would like to volunteer, please let us know. Should be finished in May with gathering surveys for the study. 10. Art in Public Places Brand and Website Updates - Kate Ithurralde Kate showed a slide presentation. Found a database to move all the artwork information into one central location. Wants to modernize this program. This will be accomplished in phases: Data Migration, Data Review, Website implementation, Rebrand and Artwork Label Update. Kate has implemented the new Website. Grateful for the name change to Art in Public Places. Working on rebranding campaign. Ongoing project is updating artwork labels, lots of art works don't have labels, unfortunately artists pass away so their birth dates/death dates always need to be updated. Kate gave the new logo buttons to the board members. Showed the board the website. Essie said was on the website, said it looks amazing!! 11. Visual Art Collection Government Center Tour - Kate Ithurralde Kate gave the Advisory board members a tour of the artwork located inside the Government Center. 12. Adjourn- Ryan Riches adjourned meeting at 12:59pm Mission Support arts and culture in Salt Lake County with premiere Spaces, Places, and Services. Values 1. Foster arts and culture county-wide 2. Good stewards of public venues and funds 3. Provide an exceptional patron experience. 4. Support Resident arts groups with a home to create, work, and perform.
