The meeting was called to order at 4:04 p.m. by Mr. Riddle, Board Chair.
First Item of Business: Minutes from the March 20, 2025 meeting were presented. No additions or changes were made to the minutes. A motion to approve the minutes was made by Mr. Fallon. The motion was seconded by Ms. Symchych. The motion passed.
Second Item of Business: Financial reports for March 2025 were presented. Mrs. Hansen explained the addition of the check detail reports to the income & expense statements for Public Housing and Rural Development. These will be sent ahead of the board meetings going forward so the board can review all checks written for operating expenses each month. Mr. Fallon asked about the status of the Public Housing reserve account, if we would have enough to cover expenses in case of shortfall. Mrs. Hansen reported the balance of the reserve account and explained the need for that balance to be increased, she explained it is an ongoing effort to build up those reserves to adequately cover operating expenses for 4-6 months if needed. A motion to approve the financial reports was made by Ms. Symchych. The motion was seconded by Mr. Fallon. The motion passed.
Third Item of Business: Two proposals for fee accounting services were presented to the board. Mrs. Hansen explained that Phillip C. Jarrell, LLC. certified public accountants was chosen due to the lower cost of their proposal and their qualifications specific to HUD accounting. Mrs. Hansen explained the contract costs and noted the contract is in effect April 1, 2025 until March 31, 2027, with the option to renew at 12 month increments. Mrs. Hansen also noted they will complete the account setup and fiscal year end close for March 31, 2025 at an hourly rate. Mrs. Hansen explained Phillip C. Jarrell had signed a non-disclosure agreement with the Housing Authority.
Fourth Item of Business: The board convened a closed meeting beginning at 4:13 PM. The closed meeting ended at 4:38 PM.
A motion to adjourn the meeting was made by Mr. Fallon. The motion was seconded by Ms. Symchych. The meeting adjourned at 4:40 PM.
