November 4, 2024, AT 6:30 PM The Panguitch City Library Board meeting was held at the Panguitch City Library at 25 South 200 East Those in attendance were Lucy Sarles, Kathy Petersen, Jon Torgerson, Julie Bishop, Laura Woodbury, Tracy Wright, Verlaine Spencer, Les Gripkey WELCOME Julie Bishop called the meeting to order at 6:34. APPROVAL OF THE AGENDA Jon Torgerson, seconded by Tracy Wright, moved to approve the current agenda The motion passed with all in favor APPROVAL OF THE MINUTES Tracy Wright, seconded by Jon Torgerson, moved to approve the minutes from September 4, 2024, with 1 correction. The motion passed unanimously. BOARD BUSINESS Bylaws were sent to the attorney, Barry Huntington. There has been correspondence between him and Tracy Wright about the bylaws. Next year's calendar and the following tentative schedule were discussed February - End of month May - Beginning of month/End of April August - First week November - Earlier in month Mondays are not generally good for our VP Shannon. Thursdays are usually good. LIBRARIAN BUSINESS Lucy Sarles reported that the color printer was sort of working and prints/copies are $.50 Lucy Sarles reported that the first bookcase ordered has been returned and refunded and 2 new bookcases have been ordered. The rest of the free shelving from Lehi library is now in Panguitch. There was discussion on getting volunteers for moving/adding bookshelves. They added a librarian recommendation shelf; board is welcome to add theirs. Verlaine did GALE training, which is a large database (basically an online Encyclopedia) available to the public. We can add shortcuts for specific age groups on our computers. Talk about GALE at the next meeting and maybe start a social media push. Barry Huntington needs to review all our policies. To apply for the CLEF, grant all employees need to have a background check. The city may need to add an ordinance for that. We need a new patron behavior policy, so employees know how to handle situations. All policies need to be posted on our website. Librarians expressed concern for their safety when working alone in the evening. Lucy Sarles would like a panic button of some sort. Most libraries in the state have cameras, but Lucy really does not want cameras in our library. It is very dark when they walk to their cars in the evening. They would feel more comfortable with a big light out there. They are alone 9 hours per week. There was discussion about additional staffing or volunteers to alleviate the time they are alone, as well as maybe adding patron events at that time. Our software guy recommended we get new filtering software. UEN has filtering software that is better than what we have currently. Jon offered to look into South Communications about stricter filtering. BOOKMOBILE Bookmobile is going well; Jacob is doing a good job and is very helpful in the library as well. UNFINISHED BUSINESS Tracy Wright suggested we have monthly meetings so that we can stay on top of things. She feels like waiting for 1 per quarter is too long to go until we handle situations. There was a lot of discussion on logistics. Tracy Wright brought up that we need at least 1 more person to make our board 7 members. NEW BUSINESS Julie Bishop asked if everyone has read the Trustee Manual and stated that if a lot of our board is just trusting 1 or 2 people that is not an effective board. There was some discussion on if it was necessary or not. Tracy Wright brought up our responsibility of maintenance and that creating a checklist for the city would be good. The librarians know this area the most so will need to create the list in priority order with a date. Lucy Sarles mentioned the need to make sure the building heaters are working properly or needing more outlets for the librarian desk area. As it gets colder, they can't have all the regular equipment plus space heaters all plugged into one outlet. Verlaine Spencer mentioned that patrons are always asking where they can plug in chargers. Tracy Wright asked if we could look into getting power cords that can attach to the walls to have more outlets available, as well as USB chargers. Lucy Sarles said she has found desks that she would like to get to put under the windows that patrons can use with their personal devices. COMMITTEE UPDATES N/A SETTING OF THE NEXT MEETING The next meeting was scheduled for February 13th at 7pm ADJOURNMENT The meeting was adjourned at 7:41
