Meeting of the UPACA BOARD OF DIRECTORS Thursday October 17, 2024, 9:00am O.C. Tanner Lounge- Eccles Theater w/Cisco WebEx option Attendees: Angela Vanderwell, Sarah Dibble Lata, Jacque Jones, Matt Castillo, Robin Chalhoub, Katelynn Killian, Jenn Niedfeldt, Darrin Casper, Helen Langan, Isaac Higham, Danny Walz, Arlyn Bradshaw, Dee-Dee Darby-Duffin, Robert Sampson, Rachel Otto Roll call and Introductions: Mr. Casper called the meeting to order at 9:02 am. Welcome: Mr. Casper welcomed all. Review public comments: No public comments. Approval of minutes: August 22, 20204 meeting minutes Ms. Darby-Duffin moved the request to approve the minutes. Mr. Walz moved to second. Unanimously approved. Eccles Theater Arts for All Program 2023-2024 - Katelynn Killian Ms. Killian presented a slide presentation. Gave a program overview, this program is the Eccles Theater Community Outreach Program. We reach our community by distributing no-cost tickets to attend events at Eccles to qualified SL County residents. To qualify SL County patrons must meet 2 requirements: resident of SL County and must be income qualified as outlined in our policy and procedures. We are funded by a 50-cent fee on all tickets sold in Delta Hall. Ms. Killian advised of the criteria to be eligible for free tickets. Ticket Utilization: The Board was given a breakdown of seasons by year. This year 2024 we are currently at our highest utilization rate. Explained how this is happening; arts for all position went full-time, more formalized ticketing procedures that provide structure and consistency to process, and an increase in AFA partners. We have three avenues to distribute tickets: Schools- arts for all staff member present to be the host at the event. Partners- overcommunication and consistency with ticket process. Individuals- give out several reminders. SL County schools: 2024 season is our pilot season thanks to the approval of the Board for the change in requirements. Highlights: 7 Broadway shows attended by SL County schools, 14 schools participated in 23-24 season, engaged these school districts, Granite, Jordan, SL City. We have distributed/utilized 338 arts for all tickets, 100% utilization for pilot season. Example: Kennedy Jr. High School students were able to come and attend MJ the Musical. Since the Board approved the new change of requirement of students on free or reduced lunch, we were able to bring in these students. This was their first time at Eccles and seeing a professional show. We have made strides to increase individuals' participation. We are growing this part of the program. We have about 90% utilization rate. A map showed the zip codes of these individuals participating. A list of our partners was shown. We are reaching into 6 main partner categories groups. LGBTQIA+ Groups, BIPOC Serving Organizations, Vocational & Rehab Services, Therapeutic Resources, Social & Community Services and FEM/Women-Based Resources. Ms. Killian highlighted a couple of Partners. Program goals moving forward. Marketing plans to increase the reach of AFA, Upkeep high utilization numbers, Expand & Maintain partner list, Implementing Eccles presents community Engagement Opportunities, and Finding more opportunities for division program collaborations. The floor was open for questions, and discussion. Several positive comments were made on the growth and implementation of this program. Questions on how to grow this program were asked? All questions were addressed. Eccles Theater Community Engagement Recap Summer 2024- Jenn Niedfeldt Ms. Niedfeldt presented the Board with the Community Engagement summer events of 2024. It was a very busy summer of events. Ms. Niedfeldt gave the numbers and breakdown of the events. Below are the events that were highlighted. Steppin' On Main: Live Performances at Eccles Theatre. Located in the Eccles Theater, front steps & Grand Lobby. Friday evening performances had a total of 2712 attendees. 12 unique consecutive events. SL Beats- live local indie bands on McCarthy Plaza. Advised of growth in this event, more foot traffic, 114% increase from last year. Photos were shared showing how it was presented, audience participation, Bands performing, etc. SL Speaks - poetry event, heart & sol event. 13 diverse poets, 9 different languages, 1 classical guitarist who accompany the poets. It had 4 media stories. Slides showed performers and audiences participations. SL Speaks- Slam poetry event. 10 local slam poets, 212 attendees, opened the Nana-wall, letting the poetry spill onto the street. Drawing in the audience. Photos showed the performers and audience. Voces En Bloom- 1st year for this event on McCarthy Plaza. Ambar Lucid- our National Headliner, a bio of her accomplishments was shared with the Board. We had 3 Spanish speaking community partners tabling, 5 County agencies represented at tables, 2 Latino owned food cars, 10 event sponsors. Commissioned event artwork from local Latina artist. We pulled in $49K in total support for this event. Photos of this event were shared with the Board. Because of time constraints Ms. Niedfeldt advised she will return to explain our Marketing approach and our strategy for growing this program in 2025. Last event for the community; Lights on at the Eccles event is on Monday Nov. 25th from 5:30 -7:30pm in the Grand Lobby. The floor was open for questions and discussion. Eccles Theater Q3 Budget and Activity Reports - Angela Vanderwell, Sarah Dibble Ms. Dibble gave the Board the high points of the budget due to time constraints. Copies of the budget were sent out to the Board prior to this meeting. We have already exceeded our revenue goal for Eccles building for the year, and we still have some incredible events coming up. We have 22 live events that are still going to happen by the end of this year. Our expenses are a little bit lower than they would normally be at this point in the year, please keep in mind that some of the expenses are reported after the month closes, so these will catch up as we go forward. Our distribution looks very strong. Still working on site revenue, we will make sure everything balances out. Still working on revenue coming in from some of the sponsors. Arts for All revenue is in line with expenses. Arts & Culture Director Updates and/or General Manager Updates - Matt Castillo, Angela Vanderwell Mr. Castillo gave a brief update. Hopefully Board members saw some of the media coverage across Arts & Culture as a whole and we announced this week a transformative partnership with the Larry H. & Gail Miller Family Foundation donating $25 million to support the construction of a new regional Art Center in Southwest Valley. Ms. Vanderwell advised our bookings on site are on track for Q4. We have 37 engagements scheduled in Regent Street. She wrapped up with the noting the highlights from Arts for All and Community Engagement, these are impactful projects approached with a great deal of passion and thanked both Ms. Killian & Ms. Niedfeldt and their teams.
