Call the meeting to order: Welcome introductions for new individuals as necessary: Meeting breakdown and courtesy reminders: These are recorded public meetings. Follow the Agenda. Be respectful of everyone's time, keep side conversations and chit chat to a minimum, or until after the meeting has concluded. Do not interrupt others while they are speaking. Note your questions and hold them until the end of each section. Approval of Meeting Minutes: 3.19.26 & 4.10.26 Action Items Vote on America 250 merchandise options - Vote on quantities to order and decide what price we would like to resale them for. At the last meeting Angie made the suggestion to order a couple hundred sunglasses. Lanyards 30 = $120 ($4.00 ea.) 50 = $200 ($4.00 ea.) 100 = $315 ($3.15 ea.) Pins 30 = $135 ($4.50 ea.) 50 = $225 ($4.50 ea.) 100 = $245 ($2.45 ea.) Sunglasses 30 = $135 ($4.50 ea.) 50 = $225 ($4.50 ea.) 100 = $245 ($2.45 ea.) Vote on Parade theme - Themes of the State/National America 250 program focus on: Reflection, Unity and Future Innovation. Educate, Engage, and Unite National Heritage Mackenzie's recommended Parade Themes: 250 Years Fueled by American Spirit. Red, White and Blue Heritage Other suggestions? Vote for parade theme Vote on Parade Guidelines - Drafted - Need to review, amend if necessary, and vote on approval. Banners/Flags/Signage - The banner/flag inventory spreadsheet in the master info doc has been updated. - America Walk250 Banner - specifically for the people to sign who complete the Walk250 challenge. Mackenzie recommends a 4'x6' size. We do have the 3x3 on hand from the electric light parade. We can save money by using the one we have. Vote on ordering an America Walk 250 or using one of the America 250 banners from the light parade. - Sponsors - we need to know what sponsors we are ordering banners/flags for. - List of what we need sponsors for is in the Old Business section of the agenda. - The 2026 Date piece was received 4/16 from UCI (Invoice $105.90). Spending the $3,000 budget from America 250 program Review old business: Volunteer T-Shirt order - The order needed to be submitted. Quantities were reviewed and approved by Angie prior to the order being submitted Melissa. They have started processing the items for shipment. Stickers - Order was placed 5/5 and stickers will arrive Wed. 5/11. There was a delay because Mackenzie kept forgetting to submit the order. Exhibits - - we need to draft, review and approve Youth and Adult Open Class categories, age groups and judges' sheets, similar to what 4-H has published. - We need to start advertising and publishing information for the exhibits. Market/promote Open Class and 4-H Exhibits America 250 - - Walk 250 - social media posts are being published - Costume Contest - need to establish guidelines and awards - Nicollee is working on this. - Ugly Cake Contest - need to establish guidelines and awards - Nicollee is working on this. Touch Base with the Museum to finalize details of free admission - we need publication material (flyer, social media material, etc.). Trish has been emailing Diego. Mackenzie requested the museum design a flyer/hand out for advertising the free admission for fair goers. No word back yet from Diego. o Sponsors It has been suggested we redo Sponsorship Packages Recruit sponsors. Sponsored prizes for events/activities. - We have gift cards from Big Horn Lodge and Raven Rim Zip Line Tours that were for UAFE. On our Getting Ready Itinerary, we currently have to get sponsors for: o Hay - need to plan delivery/pickup from Bates Cattle Co. o Vehicles - confirm quantity of vehicles needed from Ford o RC Obstacle course - confirm schedule and paperwork with Bombtown. o Ice with Ice Chest or Trailer (Moab Ice, Nate) o Tree Lights (La Grande? Wheeler? Harrison's?) o Generator (Wheeler?) o Food for Volunteers and Bands o Options from those who have donated in the past: Dominos Canyon Pizza Moab Brewery Josie Wyatt's Pasta Jays El Tapitio o Hotels for band, sound engineer and stock contractor (Hotels that have donated rooms in the past: Holiday Inn, Aarchway Inn, The Hoodoo, Big Horn Lodge, The Element, Red Stone Inn, Hampton Inn/Homewood Suites) o Check condition of Powerwheels and confirm with sticker sponsors they are still good to go 2026 (Grand Tire Pros, Performance Ford1, Parriott's Garage, Trailmater) o Food for eating contest (City Market has donated a $50 gift card in the past to go toward purchase some of the food) o Cases of Water (Packard, Walker Drug) o Paper Products, Plastic ware, Cups (Packard) o Security Fencing and golf carts (Red Rock 4 Wheelers) o Prizes for coloring contest (Moab Recreation & Aquatic Center) o Roller Derby - Wheela confirmed they are good to go July 3. We need to get swag bags. Past numbers have been approx. 50 participants. o MAT - Moab Area Transit for shuttle service to and from town - Rachel said she would work with and coordinate shuttle service with MAT. o Voting board seats - 4-H/USU and Risk Management. Isabel holds the 4-H/USU board seat and Greg has the Risk Management seat as appointed by the board. Both positions are voting positions. Mackenzie made a recommendation that both board seats become none voting and the Risk Management is automatically assigned to the arena assistant director until further growth dictates otherwise, similar to how the budget/finance position is held by the arena director. Bylaws would need to be revised and submitted to the County Commission for approval. Keep recruiting for new board members. There are 2 seats open. Recruit volunteers. - New business: o Neil submitted his resignation from the board. o Coloring Pages being used as advertisement: Mackenzie has been printing and distributing coloring pages with schedules to start advertising the fair. Locations so far: Library, Desert West Office Supply, Car Quest and Performance Ford. - Car Quest and Performance Ford received pages with their sponsor logo on them. They have been uploaded to the webpage for downloading. - https://www.grandcountyutah.net/1382/Print-Your-Own-2026-Grand-County-Fair-Co o Hot Spots. Mackenzie submitted request to the library to reserve 8 hotspots. Library Director said she can get us some, but isn't sure she can reserve 8. - Board Member Report: o (Exhibits, vacant seat) - o Angie (Arena Director) - o Nicollee (Entertainment and Volunteers) - o Rachel (Marketing) - o Melissa (Vendors/Sponsors) - o Greg (Security/Risk Management) - o Trisha (Commissioner) - o Isabel (4-H/USU) - Swag- - if the County Fair Board is the one purchasing the shirts from 4-H Shop, the fair logo can be printed on the back of the 4-H For All shirt and it will not have to go through USU marketing. Same goes for the rest of the shirts o Fair Related Shirts: See You At the Fair (black or green), Red White Blue & Green, 4-H For All' - More swag that aren't shirts but would be popular o Reusable Shopper Grocery Tote, 4-H Crest Duffel, Clover Foldable 4-H Hat, 4-H Reversible Bucket Hat, Cow Print Trucker Hat, Clover Crew Socks - Cheaper prizes o Woodcase Pencil, 4-H Clover Cups, 4-H Club Pen, To Do Pad, 4-H Wristband, Clover Stickers, I Love 4-H Stickers, Flashlight - Would like to discuss or vote on which swag would be best to purchase and how much of each item - 4-H has a prize wheel, will help us manage our resources. Kids can spin once for 1 swag item and can get a second spin if their parent gives us their email to put on the 4-H newsletter 4-H Booth - Table Cloth needed - Butter churning won't work. We'd have to rinse butter, save buttermilk, wash hands, etc. - Trying to find a better booth activity. Most likely the replica cow milking. Cory also suggests reaching out to a dairy specialist w/ USU Extension. Other - Creating flyers and reaching out to the schools to promote fair entries for youth - Work conference fair update: They will be adding a 250 category to State 4-H Fair Book. I will add the entry to the Grand County Fair book when it comes out. Adding the Fair Book to the County Website so people can see what kind of exhibits they can submit to the fair

Any form of telecommunication may be used, as long as it allows for real time interaction in the way of discussions, questions and answers, and voting. At the Grand County Commission meetings/hearings and other Grand County Boards, Commissions, or Committees any citizen, property owner, or public official may be heard on any agenda subject. The number of persons heard and the time allowed for each individual maybe limited at the sole discretion of the Chair. On matters set for public hearings there is a three-minute time limit per person to allow maximum public participation. Upon being recognized by the Chair, please advance to the microphone, state your full name and address, whom you represent, and the subject matter. No person shall interrupt legislative proceedings.
