Call the meeting to order: Welcome introductions for new individuals as necessary: Meeting breakdown and courtesy reminders: These are recorded public meetings. Follow the Agenda. Be respectful of everyone's time, keep side conversations and chit chat to a minimum, or until after the meeting has concluded. Do not interrupt others while they are speaking. Note your questions and hold them until the end of each section. Approval of Meeting Minutes: 2.24.26 Board Member Report: Angie (Arena Director) - - 3.17.26 County Commission meeting - All ICA's approved - band, ponies, tents, stock contractor New board members, Neil and Melissa, officially approved - Inflatables - Sound Engineer - Mechanical Bull - Sponsor update - Donation funds -amount and how best to utilize it. - America 250 funds $3,000 - guidelines for spending. In the agreement, Grand County agreed to: a. Promote America250 Utah in at least one public forum, e.g., social media post, onstage mention, or promotional materials. b. Collect and keep record of local anniversary events and information to share with A250UT as part of a brief archive report due August 2026, including: - 1. How stipend dollars were utilized - 2. Local event/initiative(s), date(s), location(s), purpose, attendance, social media engagement, etc. - 3. Additional digital artifacts, including photographs - 4. Post at least one event on NowPlayingUtah.com specifically tagging America250 Utah Nicollee (Entertainment and Volunteers) - Rachel (Marketing) - Neil (Exhibits) - Melissa (Vendors/Sponsors) - - Angie and Melissa recently spoke with Performance Ford. 'They were very helpful and expressed a willingness to collaborate with us on any requirements, including potential cash sponsorships.' Greg (Security/Risk Management) - Trisha (Commissioner) - Isabel (4-H/USU) - - Edits to Grand County 4-H Fairbook Review edits to Grand County 4-H Fairbook so it can be shared. Dates and times of pick-up and drop-off, general rules, and removal of entries like dance and vocal performances. Board members should review fair book to see if there are any more changes they would like to see such as entries, rules, etc. - Proposed 4-H budget for 2026. Found Cory's and Ashley's budget proposal from last year. Need help deciding how many entries we can take total (especially if there isn't enough room). That will help me decide how many ribbons 4-H will give out. Can we use the budget to purchase other fair supplies that aren't premiums? Review old business: America 250 - - Walk 250 - social media posts are being published Participants will receive a free t-shirt and an opportunity to sign banner. - Costume Contest - need to establish guidelines and awards - Nicollee is working on this. - Ugly Cake Contest - need to establish guidelines and awards - Nicollee is working on this. - Parade theme - Themes of the National America 250 program focus on: Reflection, Unity and Future Innovation. Educate, Engage, and Unite National Heritage Some suggested and recommended Parade Themes: 250 Years Fueled by American Spirit. Red, White and Blue Heritage Other suggestions? Vote for parade theme Parade Guidelines Drafted - Need to review, amend, and vote to approve. Marketing material - Vote on sticker and magnet design options (do you want 1 or both?). Vote on which company to order from (Vista Print or Sticker Mule). Stickers were $3.00+ per piece and Magnets were close to $8.00 per piece. There was no price break when purchasing in bulk. - Coloring Books - Labels made for 300 - can do more if needed Disperse to schools in May and any extra to the library. - 2026 Fan Logo design contest: Guidelines are drafted. Need to review, amend, and vote to approve. Touch Base with the Museum to finalize details of free admission - we need publication material (flyer, social media material, etc.). Trish sent an email to Diego. Exhibits - we need to draft Youth and Adult Open Class categories, age groups and judges' sheets, similar to what 4-H has published. o Sponsors Redo Sponsorship Packages and recruit sponsors. Sponsored prizes for events/activities. - We have gift cards from Big Horn Lodge and Raven Rim Zip Line Tours that were for UAFE. On our Getting Ready Itinerary, we currently have to get sponsors for: o Hay - Bates Cattle Co. confirmed with Angie, they will donate hay for this year's event. Value - $900. o Ice with Ice Chest or Trailer (Moab Ice, Nate) o Tree Lights (La Grande? Wheeler? Harrison's?) o Generator (Wheeler?) o Food for Volunteers and Bands o Options from those who have donated in the past: Dominos Canyon Pizza Moab Brewery Josie Wyatt's Pasta Jays El Tapitio o Check condition of Powerwheels and confirm with sticker sponsors they are still good to go 2026 (Grand Tire Pros, Performance Ford, Parriott's Garage, Trailmater) o Food for eating contest (City Market has donated a $50 gift card in the past to go toward purchase some of the food) o Cases of Water (Packard, Walker Drug) o Paper Products, Plastic ware, Cups (Packard) o Security Fencing (Red Rock 4 Wheelers) o Vehicles for parade (Performance Ford, Canyonlands Auto) o Prizes for coloring contest (Moab Recreation & Aquatic Center) o Confirm RC Obstacle course with Bombtown (part sponsor, part paid) o Hotels for band, sound engineer and stock contractor (Hotels that have donated in the past: Holiday Inn, Aarchway Inn, The Hoodoo, Big Horn Lodge, The Element, Red Stone Inn, Hampton Inn/Homewood Suites) o Confirm Roller Derby with Beehive Skate Revolution (sent 'Wheela' an email on 2/12 to confirm date and time, waiting on response) o MAT - Moab Area Transit for shuttle service to and from town - Rachel said she would work with and coordinate shuttle service with MAT. o Banners/Flags/Signage - The banner/flag inventory spreadsheet in the master info doc has been updated. Mackenzie has drafted an order together to submit to UCI. Let her know if we need a banner or any additional items printed for the event. Drafted order for UCI (Utah Correctional Industries): - Dimensions for the replacement date piece for the large over the road banner that is hung at the bridge by the high school on 400 E. - America Walk250 Banner - specifically for the people to sign who complete the Walk250 challenge. Mackenzie recommends a 4'x6' size. We do have the 3x3 on hand from the electric light parade. We can save money by using one we have. Vote on whether to order an America Walk 250 or use one of the America 250 banners from the light parade. - Sponsors - we need to know what sponsors we are ordering banners/flags for. o Trophies and Ribbons - Inventory on hand is logged and order is drafted. Voting board seats - 4-H/USU and Risk Management. Isabel holds the 4-H/USU board seat and Greg has the Risk Management seat as appointed by the board. Both positions are voting positions. Mackenzie made a recommendation that both board seats become none voting and the Risk Management is automatically assigned to the arena assistant director until further growth dictates otherwise, similar to how the budget/finance position is held by the arena director. Bylaws would need to be revised and submitted to the County Commission for approval. Keep recruiting for new board members. There is 1 seat open. At the Grand County Commission meetings/hearings and other Grand County Boards, Commissions, or Committees any citizen, property owner, or public official may be heard on any agenda subject. The number of persons heard and the time allowed for each individual maybe limited at the sole discretion of the Chair. On matters set for public hearings there is a three-minute time limit per person to allow maximum public participation. Upon being recognized by the Chair, please advance to the microphone, state your full name and address, whom you represent, and the subject matter. No person shall interrupt legislative proceedings. Requests for inclusion on an agenda and supporting documentation must be received by 5:00 PM on the Tuesday prior to a regular Commission Meeting and forty-eight (48) hours prior to any Special Commission Meeting.
