Description/Agenda
Call the meeting to order: Welcome introductions for new individuals as necessary: Meeting breakdown and courtesy reminders: These are recorded public meetings. Follow the Agenda. Be respectful of everyone's time, keep side conversations and chit chat to a minimum, or until after the meeting has concluded. Do not interrupt others while they are speaking. Note your questions and hold them until the end of each section. Approval of Meeting Minutes: 2.5.26 Board Member Report: Angie (Arena Director) - Nicollee (Entertainment and Volunteers) - Rachel (Marketing) - Neil (Exhibits) - Melissa (Vendors) - 2 vendors registered: Duncan Bros (popcorn/lemonade) and Mrs. Smallz (homemade food: burgers, hot dogs, fruit). Greg (Security/Risk Management) - Trisha (Commissioner) - - Volunteers - Grand County Employees and comp time. Isabel (4-H/USU) - - Exhibit location - will this be in the conference room? - Are there any exhibits we won't accept? Example: Division BB Class 21 and 22 Ideas on how to display exhibits like hanging artwork and tiered displays. Arena installed wire around the conference room and purchased clips specifically for this purpose. Review old business: UAFE trip to Ogden was canceled due to concerns over the forecasted bad weather and road conditions. America 250 - - Walk 250 - social media posts are being published - Costume Contest - need to establish guidelines and awards - Ugly Cake Contest - need to establish guidelines and awards - Parade theme - need to establish guidelines and awards Themes of America 250 focus on: Reflection, Unity and Future Innovation. Educate, Engage, and Unite Some key recommended slogans: Soaring Onward Together for 250 Years 250 Years of Freedom, Fueled by American Spirit. Our American Story Marketing material - - Stickers, Magnets, etc. Design? - Coloring Books - make labels and label. What locations should be drop them off at? Library Walker Drug? Schools? How Many? When should be start sending them out? Touch Base on Easter Jeep Safari 2026 - what would we like to do? Touch Base with the Museum to finalize details of free admission - we need publication material (flyer, social media material, etc.). Exhibits - we need to draft Youth and Adult Open Class categories, age groups and judges' sheets, similar to what 4-H has published. Disclosures, ethics pledge and OPMA - were due Jan 31st. Mackenzie is following up with the individuals who still need to turn in items. Voting board seats - 4-H/USU and Risk Management. Isabel holds the 4-H/USU board seat and Greg has the Risk Management seat as appointed by the board. Both positions are voting positions. Mackenzie made a recommendation that both board seats become none voting and the Risk Management is automatically assigned to the arena assistant director until further growth dictates otherwise, similar to how the budget/finance position is held by the arena director. Bylaws would need to be revised and submitted to the County Commission for approval. Keep recruiting for new board members. There is 1 seat open. Start recruiting for volunteers. - New business: o Sponsors Redo Sponsorship Packages and recruit sponsors Sponsored prizes for events/activities. - We have gift cards from Big Horn Lodge and Raven Rim Zip Line Tours that were for UAFE. On our Getting Ready Itinerary, we have to get sponsors for: o Hay (Bates Cattle Co.?) o Ice with Ice Chest or Trailer (Moab Ice, Nate) o Tree Lights (La Grande? Wheeler? Harrison's?) o Generator (Wheeler?) o Food for Volunteers and Bands o Options from those who have donated in the past: Dominos Canyon Pizza Moab Brewery Josie Wyatt's Pasta Jays El Tapitio o Check Power wheels and confirm with sticker sponsors they are still good to go 2026 (Grand Tire Pros, Performance Ford, Parriott's Garage, Trailmater) o Food for eating contest (City Market has donated a $50 gift card in the past to go toward purchase some of the food) o Cases of Water (Packard, Walker Drug) o Paper Products, Plastic ware, Cups (Packard) o Security Fencing (Red Rock 4 Wheelers) o Vehicles for parade (Performance Ford, Canyonlands Auto) o Prizes for coloring contest (Moab Recreation & Aquatic Center) o Confirm RC Obstacle course with Bombtown (part sponsor, part paid) o Confirm Roller Derby with Beehive Skate Revolution (sent 'Wheela' an email on 2/12 to confirm date and time, waiting on response) o Hotels for band, sound engineer and stock contractor (Hotels that have donated in the past: Holiday Inn, Aarchway Inn, The Hoodoo, Big Horn Lodge, The Element, Red Stone Inn, Hampton Inn/Homewood Suites) o MAT - Moab Area Transit for shuttle service to and from town o Softball Tournament Coordinator - Anthony Speicher/Moab City Rec. Mackenzie spoke and confirmed with Anthony and Patrick on 2/17. o Volleyball Coordinator - Chris Swenson (Angie confirmed with Chris that he will do it again this year. We will work through details as we get closer to event). o Judges Trailer for parade (2.13.26 - Mackenzie confirmed trailer with Matt Dunham, will make detailed arrangements as we get closer to the event.) o Softball Tournament Discussion Points (with Anthony and Patrick): Friday, July 3rd is confirmed, with the option to roll finals over to Saturday (late) morning if the Tournament is longer. They will try to keep it to one day as much as possible. Send Registration out through Google Forms like previous years, share with Anthony. Tournament will be capped at 8 teams. Remember to put softballs out for the tournament, we forgot last year. Security - Anthony and Patrick asked for sheriff deputy presence to detour bad behavior. - Do we want to make an alcohol-free tournament? o Pro - decrease bad, alcohol related behavior o Cons - we have to police the alcohol use, confront and remove violations. Do we have the man power to provide the extra surveillance? o City Rec said the decision was up to us, but felt like the presence of law enforcement at the event would be enough to detour bad behavior. o Banners - Mackenzie is going to start putting an order together to submit to UCI. Let her know if we need a banner or any additional items printed for the event. America 250 Banner - how big? Replacement Date for big street banner - dimensions and order details on file in the invoice from last year. More A-Frames for signage? o Trophies and Ribbons - Mackenzie is going to start putting an order together to submit to Crown Trophy. Let her know if we need trophies or ribbons for the event. Order drafted - need to add new items o T-Shirts/Tank tops - we can add America 250 to the shirts, but we will need to get design approval from the state. We can submit a few different options to see what they would be ok with. We can request to sell stickers too. Volunteers - do we want to design a new shirt for this year? - Melissa Parriott with Wild Ink designed and printed our shirts in previous years. Souvenir - do we want to design a new shirt for this year? - Casey Dimmitt with Off-road Outfitters helped design and printed the souvenir shirts last year. At the Grand County Commission meetings/hearings and other Grand County Boards, Commissions, or Committees any citizen, property owner, or public official may be heard on any agenda subject. The number of persons heard and the time allowed for each individual maybe limited at the sole discretion of the Chair. On matters set for public hearings there is a three-minute time limit per person to allow maximum public participation.
