Invitation for Bid - Public Fill Station Meter and Payment Equipment
Project Description - Potable Water Fill Station Equipment Replacement
Location: 350 North Vernal Avenue, Vernal, Utah 84078
The City of Vernal is requesting bids from qualified vendors to supply and replace the existing inoperable equipment at our potable water fill station located at the address above.
The scope of work shall include furnishing and installing equipment capable of:
Measuring and tracking the number of gallons dispensed
Accepting credit card payments only (no cash, checks, or other forms of payment)
The selected system should be reliable, user friendly, and compliant with all applicable standards and requirements for potable water dispensing systems.

Sealed Bid Requirement:
Bids must be submitted in a sealed envelope, clearly marked 'Public Fill Station Meter and Payment Equipment' to ensure the integrity and confidentiality of the submission. The sealed bid requirement is mandatory for all vendors participating in this Bidding process. Email submissions will be permitted.
Bid Due Date:
Bids must be received no later than 6/20/2025 by 2:00pm. Late submissions will not be accepted or considered. Please allow sufficient time for your Bid to be delivered and received by the due date. Bids will be opened on the same date, 6/20/2025 at 2:00pm at Vernal City Hall, 374 East Main, Vernal, Utah and held for review.

Bid Requirements:
Bidders must apply proof of contractor's license, liability insurance, and worker's compensation. No bonding or prevailing wage criteria is required for this project.
A Mandatory pre-bid meeting will be held at 10 a.m. on 6/11/2025 on the 2nd floor of Vernal City Hall in the planning and development conference room, 374 E Main, Vernal, Utah. Attendance at the pre-bid tour is mandatory.
Bid evaluation Criteria:
The selection of the vendor will be based on various factors, including but not limited to:
1. How well the Bid meets the needs of Vernal City and the guidelines of the Bid invitation
2. Price and other considerations of value
3. Availability at time of project start
Please note that the lowest of any Bid will not necessarily be accepted. Vernal City reserves the right to reject any or all Bids received. Bids that do not meet the required specifications will not be considered.
