Meeting Minutes: January 13, 2026
Present: Doug Perry, Richard Reese, Belinda Johnson, Maren Patterson, Jennifer Covington, Katrina Harris, Stacy Orton,Natalie Day, Jeannette Bowen, Blake Voorhees, Jaron Cooper. Excused: Richard Habel, Spencer Olsen, Amber Robison, Susan Edmonds.
Call to Order and Minutes Approval
Jeannette Bowen, Chair, welcomed the board, noting the two-month gap since the last meeting. Doug sent out the November 2025 meeting minutes via email. Natalie made a motion, seconded by Belinda, to approve the minutes from the November 2025 meeting. Motion carried.
II. Financial Report
Richard Reese reviewed a summary of the Foundation financial report, including current balance and incoming revenue for the month. He stated that the Foundation took in approximately $40,000 in receipts (mostly from Christmas/Angel Tree activities). But also Longview's playground project took in a significant amount. Doug added that he had worked with Jaque in the accounting department to simplify the balance sheet for board members to more easily see the different accounts. Stacey made a motion to accept the financial report, Blake seconded it. Motion carried.
III. New Funding Requests
Doug brought forward a funding request from Unified Sports to support their participation in the Sweetheart Ball: A request was received from Jesse Agiriga for $148.00 to provide transportation for 28 students with disabilities to attend a semi-formal dance hosted by Kearns High School. Rich made a motion to approve, Maren seconded it. Motion carried. There was a brief discussion regarding whether the Foundation should be the primary source for such requests or if other resources should be tapped. However, it was noted that the Pickleball Tournament was specifically created to fund Unified Sports and could be tapped for this beginning this year.
IV. Program Reports & Updates
A. Angel Tree (Sub for Santa)
Doug shared success metrics: Assisted 600 children this year (up from 140 last year), due to collaboration with the School Based Mental Health team to expand the program. The project collected approximately $34,000 in cash. There is an estimated surplus of $10,000-$12,000 to carry over to next year. Fashion Place Mall hosted the tree for the first time. The launch event was successful, and the date for next year is already booked. The use of QR codes for tags worked well for tracking and donor reminders. Feedback for 2026 was to possibly improve QR code filtering so donors can search by specific schools/ages. There were a number of additional features regarding Santa Clause, the Grinch, treats for attendees, and less messages and more performances that rounded out the discussion.
B. Giving Machines
Doug reported he was informed that MEF was the #1 recipient of donations at the City Creek Giving Machines this year. While final totals are pending (expected March), he introduced a plan for how to spend the funds efficiently within one year, potentially through prepaid services for doctors or bulk 'buy-one-get-one' agreements with retailers for coats/socks.
C. Lights at the Ballpark
This low-effort partnership netted $250 via a referral codes MEF promoted. Future Idea: Explore setting up an Angel Tree information table at this and other holiday events (Ballpark, Aquarium, etc.) to increase visibility for Angel Tree.
D. Pickleball Tournament
The tournament has already hit its $10,000 goal, largely through sponsorships. But we need more teams to participate - we are hopeful that the gap will be closed so we can officially declare it a success. Doug will be appearing on Good Things Utah tomorrow to promote the event. Future Plans: Suggestion to move the event to March/April to avoid 'donor fatigue' immediately following Christmas.
E. Pinnacle Awards
Maren shared that over 60 applications received so far; nominations close January 23. Eight winners will be selected (including administrators this year). The Surprise Day: February 4. The Gala will be March 5. Professional photos will be hung in the District Office rather than sent home with winners. The board discussed adding a note to nominators encouraging them to share their kind words with the teachers directly, even if they don't win.
V. Special Projects & Risk Management
A. Oral Health Pilot Project
MCSD's current mobile dentistry provider has moved to a for-profit model that is not serving uninsured students effectively, not at the levels we really need. MEF is forming a coalition (including SLCC Dental Hygiene School and the Utah Dental Hygienist Association) to seek a $50,000-$75,000 grant/appropriation for mobile dental equipment. Similar to 'Sight Fest,' this program would be a pilot program in Murray, providing free cleanings and exams at a central location (e.g., Liberty school) using dental hygiene students. This effort is at the beginning stages so Doug will keep the board in the loop as things transpire.
B. Risk Management/Insurance
Doug reported that it was discovered that MEF was not covered under the District's liability insurance. He requested coverage with the State Risk Management pool, and they agreed this week to do so at a cost of $300/year, effective July 1, 2026. This will cover liability for events like the Golf and Pickleball tournaments, but also any other off-site event.
VI. Adjournment: Next Meet February 10, 2026, Grant Elementary School
